Searching in Backstage

Overview

The Search functionality in Backstage allows you to efficiently locate and filter content within your Videos and Playlists. This powerful filtering system enables you to narrow down large content libraries using multiple criteria, making it easier to find specific assets or groups of content that meet your requirements.

The search interface provides both a main search bar for text-based queries and comprehensive filtering options to refine results based on content attributes, status, and other metadata.


Search Scope

Important Limitation: The current search functionality requires exact matches and does not support fuzzy search.

The main search bar searches within the following fields only:

  • Title

  • Description

  • Program Name

  • External ID

When using the search bar, your search terms must match the content exactly as it appears in the system. This means:

  • Exact spelling is required - any typos or variations in spelling will prevent matches

  • Case sensitivity may apply - ensure your search terms match the exact capitalization used in the content

To work effectively within these limitations:

  1. Use specific, complete terms that you know appear in your content

  2. Try variations of titles or descriptions if your initial search doesn't return expected results

  3. Utilize the filtering options to narrow down content before using the text search

  4. Consider using External IDs or Media IDs for precise content location when available

NOTE: Other content attributes like tags, custom parameters, and status information are not searchable through the main search bar. These can only be accessed through their respective filter options in the interface.

Filters

Tags

The Tags filter allows you to search for content based on the tags that have been applied to media assets or playlists. Tags serve as organizational markers that help categorize and direct content throughout the system.

Include Filters:

  • Any: Content will appear in results if it has at least one of the selected tags

  • All: Content will only appear if it contains every single selected tag

Exclude Filters:

  • Any: Content will be excluded from results if it has at least one of the selected tags

  • All: Content will only be excluded if it contains every single selected tag

Tags are essential for organizing content and enabling Dynamic Playlist functionality, so proper tag filtering helps you quickly locate content that belongs to specific categories or series.

Custom Parameters

Custom Parameters filtering works similarly to Tags but focuses on custom metadata fields that have been configured for your content. These parameters provide additional ways to categorize and search for content beyond standard tags.

Include Filters:

  • Any: Content will appear in results if it has at least one of the selected custom parameters

  • All: Content will only appear if it contains every single selected custom parameter

Exclude Filters:

  • Any: Content will be excluded from results if it has at least one of the selected custom parameters

  • All: Content will only be excluded if it contains every single selected custom parameter

Custom parameters offer flexibility in content organization and can be tailored to your specific workflow needs.

Preset Type

The Preset Type filter allows you to search for content based on the specific preset template that was used when creating the video or playlist. Presets are predefined templates with customized fields designed for different types of content.

This filter is particularly useful when you need to locate all content of a specific type, such as all video assets created with a particular preset or all playlists that follow a certain organizational structure.

Playlist Type

When working within the Playlists section, the Kind filter allows you to distinguish between different playlist types:

  • Manual: Hand-curated playlists where content is individually selected and ordered

  • Dynamic: Automatically populated playlists that use tag-based filtering to include content

Status

The Status filter helps you locate content based on its current publication state:

All

Shows all content regardless of publication status

Active

Content is currently active and available for viewers to access

Inactive

Content is no longer active and unavailable to viewers

Ready

Content that is published and accessible to viewers

Not Published

Content that has been saved but remains inactive and hidden from users

Expired

Content that has reached its expiration date and is no longer available

Scheduled

Content with a future publish date that has been set but not yet reached

Not Scheduled

Content that does not have a publish date configured

Deleted

Content that has been removed from the system and will no longer show up in search unless this Status filter is selected

Language

The Language filter allows you to locate content that has been configured with specific language localizations. Content may have multiple language options for elements like titles and descriptions.

When you select a language filter, the search will return content that has localization available in that language. For example, selecting "French" will show all content that has French language options configured, even if the content also has other language localizations available.

Expiration Date Range

The Expiration Date Range filter helps you locate content based on when it is scheduled to expire or become inactive. This filter offers two distinct modes:

Early Mode:

  • Allows you to set both a start date and end date

  • Shows content that will expire within the selected date range

  • Useful for identifying content that needs renewal or replacement within a specific timeframe

Continuous Mode:

  • Allows you to set only an end date

  • Shows all content that will expire before the selected date

  • Useful for finding all content that expires by a certain deadline

NOTE: Both modes use Central Time (CT) as the standard, so ensure you account for this when setting your date parameters.
